EM2 HOUSING RESERVATION POLICIES
* A valid credit card is required at the time a reservation is made.

* Room fees are not charged at this time. Only the AES Booking Fee ($10) is due at the time of individual room reservation. The booking fee is non-refundable. 

* Reservations cannot be transferred to another guest/payor; individual reservations can be cancelled and re-booked by a new guest/payor based on availability.

* All reservations must be associated with a registered club and team; incomplete reservations may be subject to cancellation.

* In the event of a booking error, contact EM2 Housing directly at 1-800-603-0917 for assistance.


EM2 HOUSING RESERVATION DEADLINE DATES

Rooming List deadline (based on availability): Tuesday at 3pm CST
* All rooms must have at least one occupant’s name and paid AES fee; unoccupied rooms will be cancelled each Tuesday at 3pm CST and made available to other teams.  Additional reservations are based on availability.


Last day for cancellations, changes, and new reservations: January 7, 2025, at 3pm CST

* EM2 Housing can accept reservations, changes, and cancellations up until this date, without penalty. After this date, allow 7-10 days for the hotel to process your confirmation number. Changes cannot be made during this blackout period.

* Upon receipt of the confirmation number, changes and cancellations must go through the hotel directly; charges may apply.

You can review/modify/cancel your reservation online, without penalty, before the final EM2 Housing deadline by following the directions below:
1. Go to

2. Enter the e-mail address of the person who made the group reservation (typically, NOT your email address). This can be found in the contact information section near the top left of the confirmation e-mail. 
3. Enter the Reservation #. 
4. A summary of the reservation will appear. 
5. Click on your assigned room number within the block. 
6. If you need to make a change, click on the button that states “Contact Housing Director.” 
7. Follow the prompts to request your change. Please be sure to include your name, room number, and phone number or email address. 
8. Click Submit to send your request.
9. Please allow 24 hours for your request to be processed. It is the responsibility of the guest to ensure the request was received and processed by the stated deadline.

HOTEL CANCELLATION POLICY
* The hotel may attempt a pre-authorization of estimated charges to the credit card on file prior to arrival; invalid/declined cards may result in room cancellation.

* Please handle late changes and cancellations with the hotel directly 7 days before scheduled arrival to avoid applicable charges. WAIT UNTIL YOU RECEIVE YOUR ROOM CONFIRMATION NUMBER BEFORE CONTACTING THE HOTEL DIRECTLY.
